For Earnscleugh Castle Coach House Stays

These Terms and Conditions (“Terms”) govern your booking and stay at the Coach House, a charming 3-bedroom guesthouse on the historic Earnscleugh Castle estate in Clyde, Central Otago, New Zealand. By making a booking, you agree to these Terms. If you do not agree, please do not proceed with your reservation.

Earnscleugh Castle reserves the right to update these Terms at any time, with changes posted on our website.

1. Booking and Reservation

  • Eligibility: Guests must be at least 18 years old to book. By booking, you confirm that all information provided (e.g., name, contact details, number of guests) is accurate.
  • Confirmation: Bookings are confirmed upon receipt of a deposit or full payment and a confirmation email from us. We reserve the right to refuse or cancel bookings at our discretion (e.g., due to availability errors or policy violations).
  • Group Size: The Coach House accommodates up to 6 guests (3 bedrooms). Additional guests require prior approval and may incur extra fees.
  • Minimum Stay: A minimum 2-night stay applies though may be reduced to 1 night for low season periods, with longer minimums during peak seasons (e.g., holidays).
  • Rates: Rates are quoted in New Zealand Dollars (NZD) and include GST. They vary by season, availability, and special offers. All rates are subject to change until confirmed.

2. Payment Terms

  • Deposit and Payment: Full payment is required at time of booking.
  • Payment Methods: We accept credit cards (Visa, Mastercard), bank transfers, or other methods specified at booking. All payments are processed securely.
  • Additional Fees: Extra charges may apply for additional guests, cleaning beyond standard, or damages.
  • No-Show: Failure to arrive without notice results in full payment.

3. Cancellation Policy

  • Guest Cancellations (excluding non-refundable special rates) are:
    • More than 30 days before arrival: Full refund minus a 10%.
    • 15-30 days before arrival: 50% refund of the total booking amount.
    • Less than 15 days before arrival: No refund.
  • Our Cancellation: If we cancel (e.g., due to unforeseen circumstances), we’ll provide a full refund or alternative dates. We’re not liable for additional costs (e.g., travel expenses).
  • Changes: Date changes are treated as cancellations and re-bookings, subject to availability and potential rate adjustments.

4. Check-In and Check-Out

  • Check-In: After 2:00 PM on arrival day. Early check-in may be available upon request.
  • Check-Out: By 10:00 AM on departure day. Please reach out if you need a later check-out as will be dependent on whether new guests are checking in that day.
  • Access: Self-check-in instructions will be provided via email.
  • Late Arrival: Notify us if arriving after 8:00 PM to ensure smooth access.

5. House Rules

  • No Smoking: Strictly no smoking inside the Coach House. Fees apply for violations.
  • Pets: Due to the fact we have animals including pheasants roaming the property free range, we do not allow pets.
  • Parties/Events: No parties or events without written approval. Maximum occupancy must be adhered to.
  • Respect the Property: Treat the Coach House with care—report any damage immediately. Guests are responsible for damages or excessive cleaning.
  • Sustainability: We encourage eco-friendly practices, like recycling and conserving energy/water.
  • Children: The property is family-friendly, but children must be supervised on the estate’s grounds, river and ponds.

6. Liability and Insurance

  • Guest Responsibility: Guests stay at their own risk. We’re not liable for personal injury, loss, or damage to belongings. We recommend travel insurance covering cancellation, health, and property damage.
  • Our Liability: Earnscleugh Castle is not responsible for events beyond our control (e.g., weather, power outages). Liability is limited to the booking amount.
  • Health and Safety: The estate includes rural elements (e.g., uneven terrain, river proximity, ponds, sheep, swinging gates and fences )—guests must exercise caution.

7. Force Majeure

We’re not liable for delays or cancellations due to uncontrollable events (e.g., natural disasters, pandemics, strikes). In such cases, we’ll offer refunds or rescheduling where possible.
